1. General Policy
Because Green Heart Getaways partners with multiple airlines, hotels, tour operators, and third-party travel providers (“Travel Partners”), refund eligibility and timing depend on the specific policies of those providers.
When you book through us, you agree to abide by both Green Heart Getaways’ policy and the individual Travel Partner’s policy associated with your reservation.
2. Service Fees and Deposits

Planning fees, consultation fees, or non-refundable deposits paid to Green Heart Getaways are non-refundable, unless otherwise stated in writing.

These fees cover time spent researching, designing, and coordinating your trip.

In some cases, deposits may be credited toward future travel within a specific time frame (at our discretion).
3. Cancellations by the Traveler
If you decide to cancel your trip or booking:

You must notify us in writing (by email) as soon as possible.

Cancellation requests will be processed based on the Travel Partner’s terms and timelines.

Certain bookings (such as promotional fares, group rates, or last-minute deals) may be non-refundable.

Refunds, if approved by the Travel Partner, may take up to 6–8 weeks to process, depending on the provider and payment method.
We will assist you with the cancellation process and communicate any applicable penalties or fees before finalizing the request.
4. Cancellations by Travel Partners
In rare cases, a Travel Partner (such as an airline, hotel, or tour operator) may cancel or modify a booking.
When this happens:

We will work with the provider to secure a refund, credit, or suitable alternative on your behalf.

Refunds or credits will be issued according to the provider’s policy, not Green Heart Getaways’ own discretion.

We are not responsible for cancellations due to weather, natural disasters, government actions, pandemics, or other events beyond our control (“Force Majeure”).
5. Cancellations or Modifications by Green Heart Getaways
If Green Heart Getaways must cancel a service (such as a planned group trip or guided event), we will:

Provide a full refund of any payments made directly to us for that service; or

Offer a credit toward a future booking of equal value.
Refunds do not apply to third-party services not booked or controlled by Green Heart Getaways.
6. Refund Method
Approved refunds will be issued:

To the original form of payment, when possible; or

As a travel credit that can be applied to future bookings within a stated time frame (usually 12 months).
Please note that any processing fees charged by payment providers or Travel Partners may be deducted from the total refund amount.
7. No-Show Policy
Failure to arrive or check in for scheduled flights, hotels, or tours (“no-shows”) is not eligible for any refund or credit.
We strongly recommend notifying us immediately if your travel plans change, so we can help minimize losses where possible.
8. Travel Insurance Recommendation
Because unforeseen events can impact your ability to travel, we highly recommend purchasing comprehensive travel insurance that covers:

Trip cancellation or interruption

Travel delays or missed connections
Travel insurance offers an added layer of protection, especially for non-refundable bookings.
9. How to Request a Refund
To request a refund or credit:
